Official Call for 2013 SPE PetroBowl Participation

Attention all SPE student chapters,

SPE’s Annual Technical Conference & Exhibition (ATCE) in New Orleans may be 6 months away (September 30 to be exact), but it is once again time to determine this year’s PetroBowl competitors!  The registration for this year’s PetroBowl has been revamped so please read the entirety of this post (pay particular attention to the qualification portion of the “Registration Guidelines”) and do not hesitate to mail any questions you may have.  As the regulations below suggest, the official registration day will be April 24, 2013 but all interested parties must express an interest mailing to petrobowl kick-off latest by 12:00 Noon GMT on April 23, 2013, to establish and ensure a fair registration process.

Registration Guidelines

A. Procedure
1.    A call for participation will be circulated to all SPE student chapters in good standing and on social media.  Should a student chapter wish to participate in PetroBowl, a contact e-mail address will be requested at that time.
2.    During the time between the call for participation and the official registration day, the PetroBowl committee will establish and confirm communication between the student chapter’s contact e-mail address and the PetroBowl committee’s e-mail address.
3.    Student chapters will receive via e-mail a hyperlink to a website that will contain a set of 10 PetroBowl-style questions (“Registration Question Set”).  Upon receipt, each student chapter should methodically and efficiently submit the answers on the website.  Only answers submitted via the provided website will be considered (i.e. no e-mail submissions).
4.    Multiple retrievals of the Registration Question Set and/or submissions by a student chapter will result in disqualification.
5.    All decisions, at any point in the process, made by the PetroBowl Committee shall be considered final.

B. Qualification
1.    Each team from the previous year’s (2012) “Final Four” student chapters will automatically receive invitations to participate in PetroBowl. However, each team must still participate in the registration process as outlined above. Participation shall be construed as the team’s intent in accepting the invitation to participate in the upcoming PetroBowl.  Please note that although participation in PetroBowl will be guaranteed to these teams, it is nonetheless in the teams’ best interest to be fully engaged during the registration process as seeding for the tournament will be determined on the performance of all teams in the Registration Question Set.
2.    Each team from a “Past Champion” student chapter will automatically receive invitations to participate in PetroBowl.  However, each team must still participate in the registration process as outlined above. Participation shall be construed as the team’s intent in accepting the invitation to participate in the upcoming PetroBowl. Please note that although participation in PetroBowl will be guaranteed to these teams, it is nonetheless in the teams’ best interest to be fully engaged during the registration process as seeding for the tournament will be determined on the performance of all teams in the Registration Question Set.
3.    The remaining slots will be awarded to student chapters based on a ranking of correct answers to the Registration Question Set.  In the event that multiple student chapters have the same number of correct answers, the student chapter with the shortest “response time” shall be chosen preferentially.  “Response time” is defined as the timestamp of submission minus the timestamp of access to Registration Question Set.  Response times will also be used to assign seeding in the competition.  All timestamps will be administered by a third party website and are final.
4.    Teams with unexcused “no-show” student chapters (that signed up for PetroBowl but forfeited in absentia) in the 2012 PetroBowl competition shall be administered a 15 minute penalty to their response time.

C. Timeline
1.    A call for participation will be circulated to all SPE student chapters in good standing on or before April 9, 2013.
2.    All student chapters that have expressed an interest will be segregated into regional groups.  Each regional group will receive a link to access the Registration Question Set at a previously announced time on registration day.
3.    The official registration day as outlined above will be April 24, 2013.
4.    The deadline to complete and submit the Registration Question Set is April 26, 2013 (48 hours after each regional group receives the link).
5.    Qualified teams must confirm intent to participate no later than one month prior to the day of the competition.  Should a team confirm intent to participate but be absent during the day of competition, a penalty will be assessed to the student chapter for future registrations.
